Message templates provide a structured way to start certain WhatsApp conversations. Categories, review rules and pricing can change, so confirm current requirements in official Meta documentation before submission.
Start with customer expectation
A useful template answers three questions immediately: who is contacting me, why now, and what can I do next? Match the wording to the consent collected. A customer who requested an order update should not receive an unrelated promotion under that expectation.
Write variables defensively
Variables should insert dependable, escaped data such as a first name, reference or appointment time. Ensure the sentence still makes sense for realistic values. Never allow an untrusted variable to change the message’s purpose, and provide a fallback when data is missing.
Design the response path
Buttons can reduce effort, but their labels must describe the result. Plan for free-text replies as well. Decide who owns responses, when automation should stop and how a customer reaches a person.
Review before submission
Check spelling, category choice, consent alignment, sample variable values and landing-page destinations. Keep an internal owner and revision history. Approval is not permanent permission to ignore quality or policy.
Measure usefulness
Do not optimise only for sends. Review opt-outs, replies, resolved tasks, escalation and complaints. A smaller, better-targeted audience is often operationally healthier than an indiscriminate list.
Design variables as controlled data
Every variable needs a documented source, expected format, maximum practical length and fallback decision. Read the message with missing, long and unusual values. A grammatically correct placeholder can still produce misleading content when the underlying state is stale, so define when the message must not be sent.
Keep links and destination ownership explicit. Prefer stable, recognisable destinations and test that parameters do not expose unnecessary personal data. If a variable changes the meaning of an offer, deadline or account state, require stronger review than a cosmetic personalisation field.
Establish template governance
Record the template’s purpose, audience expectation, consent basis, owner, language variants and current approval status. Use a controlled naming convention that helps operators select the intended version. Retire obsolete variants so an agent or automation cannot accidentally choose outdated wording.
Review templates when the customer journey, linked page, variable source or platform policy changes. Approval by a platform does not prove that the message is appropriate for every audience or that its data is accurate. Before a campaign or automation goes live, test selection, rendering, opt-out handling and the response path with controlled contacts. For multilingual templates, use a fluent reviewer who understands the customer context rather than relying only on literal translation. Validate variables independently in each language because word order, length and fallback phrasing can change. Keep the language-selection rule visible to campaign and automation owners.
